Bilingual Administrative Assistant

REPORTS TO: Legal Director

HOURS: Full-time/Exempt

Tennessee Justice for Our Neighbors (“TNJFON”) is a non-profit law firm that represents clients in immigration matters, educates the community about immigration law and policy, and advocates for the rights of immigrants. We represent immigrants who are eligible for humanitarian forms of relief such as asylum, DACA, Special Immigrant Juvenile status, T visas, Temporary Protected Status, U visas, and relief under VAWA. Every member of our staff plays a critical role in fulfilling the TNJFON mission.

RESPONSIBILITIES OF THE POSITION:

Communications

  • Communicate TNJFON mission, services, intake process, and service model to clients and community members

  • Track and relay messages from clients and community members to other TNJFON staff and vice-versa

  • Refer callers to appropriate community resources including other non-profit organizations and private immigration practitioners if TNJFON legal staff is unable to assist

Legal Service Support

  • Schedule client appointments as directed by TNJFON legal staff; communicate to clients the documents, information and, if applicable, fees required for each appointment; and send appointment reminders by voice or text, as appropriate;

  • Provide Spanish to English and English to Spanish interpreting at client appointments

  • Translate forms, letters, declarations, and foreign documents from Spanish to English and English to Spanish.

Administrative Support

  • Responsible for handling incoming mail, including sorting and distributing, as well as documenting and tracking correspondence related to client cases;

  • Assist TNJFON legal staff with preparing, tracking, copying and sending outgoing mail when necessary; and

  • Copy documents for TNJFON legal staff and clients.

Data and Case Management

  • Responsible for handling TNJFON legal staff requests to open new cases, or close existing cases;

  • Update and document client interactions, client-related mail and internal case status in case management system;

  • Maintain deadlines using case management system;

Additional Duties

  • Maintain accurate and complete records regarding representation including client communications, casework, and deadlines, as directed by Legal Director and in compliance with TNJFON requirements

  • Contribute to TNJFON meetings, resources, and materials

JOB REQUIREMENTS:

At least 1 year of secretarial or administrative experience; legal office experience preferred
Punctual and consistent attendance
Fluent written and spoken English and Spanish
Strong oral and written communication skills
Strong organizational skills with demonstrated attention to detail
Ability to prioritize and complete tasks in a timely manner
Ability to operate both independently and as part of a diverse team
Demonstrated commitment to social, racial, and economic justice and an understanding of the challenges facing immigrant communities
Experience working with trauma survivors preferred

ANNUAL SALARY and BENEFITS: The salary range for this position is $38,000 - $45,000, and will be commensurate to experience and qualifications. Part-Time Receptionist (Bilingual – English/Spanish)

REPORTS TO: Legal Director and Executive Director

HOURS: Part-time, three days per week in person (within office hours: Monday–Friday, 9:00 a.m.–5:00 p.m.)

POSITION SUMMARY: The Part-Time Receptionist serves as the first point of contact for clients, visitors, and community members. The ideal candidate must be fluent in both English and Spanish—speaking, reading, and writing—and demonstrate professionalism, empathy, and strong organizational skills. This position is vital to ensuring that our office operates smoothly and that clients receive a welcoming and respectful experience, particularly as clients served at TNJFON are survivors of violence and persecution. The part-time receptionist will work closely with all members of the legal team and operations team. An ideal candidate must be compassionate and have excellent communication skills. Experience working in a law firm is helpful, but not required. This is an in-person position.

KEY RESPONSIBILITIES:

  • Greet clients, visitors, and community members warmly and professionally.

  • Answer and direct phone calls, emails, and other correspondence.

  • Assist with administrative tasks, including mail processing and scheduling

  • Provide translation and interpretation assistance as needed between English and Spanish.

  • Ensure the reception area is clean, welcoming, and well-stocked.

QUALIFICATIONS:

  • Fluent in English and Spanish (speaking, reading, and writing).

  • High School diploma or GED equivalent.

  • Excellent verbal and written communication skills.

  • Strong interpersonal skills and the ability to interact professionally with a diverse client base.

  • Highly organized with strong attention to detail.

  • Ability to manage multiple tasks efficiently and prioritize workload.

  • Previous reception or administrative experience preferred, but not required.

  • Commitment to the mission of providing legal services to underserved communities.

WORK ENVIRONMENT:

  • Office hours: Monday–Friday, 9:00 a.m.–5:00 p.m.

  • Schedule to be coordinated with the Legal Director. The in-person position requires three days per week generally working Monday, Tuesday, Wednesday. However, there may be some weeks such as when there is a Monday holiday that will require a Tuesday, Wednesday, Thursday schedule.

COMPENSATION: This is a part-time non-exempt hourly position. The pay rate is $21.50 per hour.
